4. Why we collect it and our lawful basis
The lawful basis for processing your personal data is consent (Article 6(1)(a) of the Data Protection (Bailiwick of Guernsey) Law, 2017). By submitting the registration form you are actively consenting to the uses described in this policy.
We use your information to:
Confirm your registration and send you event communications (updates, logistics, reminders)
Manage attendance and on-the-day logistics
Understand the reach of the Sprint across sectors, organisation sizes and AI experience levels
Produce aggregated, anonymised post-Sprint reporting and impact analysis — including reports that may be shared publicly, submitted to the States of Guernsey, or covered by local and international media
Plan future Sprint programmes
Aggregated and anonymised findings only will appear in any published output. No individual participant will be identifiable in any report. We will not use your data for unrelated marketing or commercial purposes without obtaining fresh consent.
5. How we share your information
We will not share your personal data with sponsors, partners or other third parties without your separate, specific consent.
Your data will be accessible only to authorised staff across the eight G8 co-organising bodies, on a need-to-know basis, under the terms of our Joint Controller Agreement.
Aggregated and anonymised findings — where no individual can be identified — may be published publicly as described above.
6. Data storage and security
Your data will be held on a secure registration platform. We are currently finalising our platform selection and will ensure that any provider we use meets appropriate technical and contractual standards before registrations open, including encryption in transit and at rest, role-based access controls, and a Data Processing Agreement.
7. How long we keep your data
Registration and contact data will be retained for 12 months after the Sprint concludes, to allow for follow-up queries and post-event administration. After this period, your data will be securely deleted or irreversibly anonymised.
Aggregated and anonymised statistics (for example, the number of registrants by sector) may be retained beyond this period for reporting, impact analysis and future sprint planning — but these will not contain any information that identifies you.
8. Your rights
Under the Data Protection (Bailiwick of Guernsey) Law, 2017, you have the right to:
Access the personal data we hold about you
Correct any inaccurate information
Delete your data (subject to any legitimate retention requirements)
Withdraw your consent at any time — if you do, we will remove you from mailing lists and delete or anonymise your data; this will not affect the lawfulness of processing before withdrawal
